1. Introduction
The Potter's Assistant is a studio management app for potters. It is made by The Potter’s Assistant Technologies LLC ("we", "us"), based in Arizona, United States.
This policy explains what we collect, why we collect it, and what you can do about it. If anything here is unclear, email us at admin@thepottersassistant.com.
2. Information We Collect
We collect the following:
- Account details. Your email address and password. Passwords are handled by Supabase Auth and stored as hashes — we never see your password. If you sign in with Apple or Google, we receive the email address tied to that account instead.
- Studio profile (optional). Anything you choose to add: your name, studio name, phone number, website, location, bio, and profile photo.
- Your studio records. The work you put into the app — glaze notes and recipes, kiln runs, inventory, works in progress, finished pieces, sketches and designs, calendar events, cost and pricing calculations, social post drafts, and any photos you attach.
- Subscription status. Which plan you are on and whether it is active. Card numbers and payment details go straight to Apple or Stripe. We never receive or store them.
- Messages you send us. Support email and anything you include in it.
- Optional integrations. If you connect Google Calendar, we store an access token and the events we sync. If you connect a kiln through Skutt KilnLink, we store the connection details and the firing telemetry it reports.
What we do not collect:
- No analytics, advertising, or crash-reporting services. The app contains no third-party tracking or ad software. We do not measure how you use the app, and we do not build an advertising profile of you.
- No device location. The "location" field on your profile is plain text you type in yourself.
- No contacts, no photo library beyond the images you pick to upload, and no health or financial data.
- No push notification tokens. Reminders are scheduled locally on your own device, so nothing about them reaches our servers.
3. How We Use Your Information
We use your information to:
- Create and run your account, and sign you in.
- Store your studio records and sync them between the web app and the mobile app.
- Run the features you ask for, including the optional calendar, kiln, and AI features described below.
- Manage your subscription and keep your plan current.
- Answer your support emails.
- Keep the service working and secure, and investigate abuse or attempts to break it.
- Meet our legal and tax obligations.
We do not sell your personal information, and we do not use it for advertising.
4. How We Store and Protect Your Information
- Your records live in a managed PostgreSQL database hosted by Supabase. Your photos live in private Supabase Storage buckets.
- The web app is hosted by Vercel.
- Traffic between your device and our services uses HTTPS.
- Database access is restricted per account using row-level security, so your rows are only readable by your own signed-in session.
- Images are not public. They are served through short-lived signed links generated for your session.
- Supabase takes automated backups of the database. We have not set a custom retention window, so backup copies are kept and aged out on Supabase's schedule for our plan.
No service can promise perfect security, and we will not pretend otherwise. If we ever discover a breach affecting your data, we will tell you.
5. Sharing and Third Parties
We do not sell your personal information and we do not share it for advertising. We do rely on these companies to run the app, and they only receive what their part of the job needs:
- Supabase — database, sign-in, and file storage.
- Vercel — hosting for the website and web app.
- Stripe — payments for subscriptions bought on the web.
- Apple — Sign in with Apple, and subscriptions bought in the iOS app through the App Store.
- Google — Google sign-in, and Google Calendar if you connect it.
- Anthropic — powers the AI features (Pottery Fix AI and Studio Scan). When you use one of those features, the photo and text you submit are sent to Anthropic's API so it can generate a reply. This only happens when you choose to use an AI feature.
- Expo (EAS) — builds the mobile app and delivers app updates.
- Skutt KilnLink — only if you connect a kiln. We read firing data from your kiln account.
We may also disclose information if the law requires it, such as a valid legal request, or to protect our rights or someone's safety.
6. Your Rights
You can, at any time:
- See and export your data. Settings has an export tool for CSV, PDF, and an image archive.
- Correct it. Your profile and records are editable in the app.
- Delete your account. See Data Retention below.
- Disconnect an integration. Turning off Google Calendar or your kiln connection removes the stored token for it.
If you are in the EU or UK, the GDPR gives you the rights to access, correct, erase, restrict, port, and object to our use of your personal data, and to complain to your local data protection authority.
If you are in California, you have the right to know what we collect, to have it deleted or corrected, to opt out of the sale or sharing of personal information (we do neither), and not to be treated differently for exercising those rights.
To make a request, email admin@thepottersassistant.com. We may need to confirm you control the account before we act on it.
7. Data Retention and Account Deletion
We keep your studio records for as long as your account is open. You can delete your account from Settings, or by emailing admin@thepottersassistant.com from the address on the account.
Deleting your account removes:
- Your database records — glaze notes, kiln runs, inventory, works in progress, finished pieces, sketches and designs, calendar events, cost and pricing calculations, and social post drafts.
- The images you uploaded.
- Your integration connections, including any stored Google Calendar and kiln tokens.
- Your profile and the login itself.
Deleting your account does not cancel an App Store subscription. Apple controls that billing, not us, so cancelling is a separate step. On your iPhone or iPad, open Settings, tap your name, tap Subscriptions, then select The Potter's Assistant and cancel. Cancel before deleting your account, or Apple will keep charging you. If you subscribed on the web through Stripe, cancel from the billing section in Settings.
Deleted records may remain in Supabase's automated database backups until those backups age out on their normal schedule. We do not restore deleted accounts from backup on request.
We may keep limited billing and tax records after deletion where the law requires us to.
8. Children
The Potter's Assistant is not designed for or directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has created an account, email admin@thepottersassistant.com and we will delete it.
9. Changes to This Policy
If we change this policy, we will update the date at the top. If a change materially affects how we handle your data, we will tell you in the app or by email before it takes effect. Continuing to use the app after that means you accept the updated policy.
